Sign in and choose your company
Use the email address and password supplied by your company administrator. If you have a temporary password, choose a new password of at least 12 characters when prompted.
Select the correct company if your account has access to more than one. The account determines your role; choosing a button on the landing page does not grant extra access.
Use Sign out when finished on a shared device. If you forget your password, ask your company administrator for a reset. After repeated failed attempts, wait before trying again or contact the administrator.
Open the right pay period
The app normally opens the pay period covering today. If an open current period has no sheet yet, it opens one for you. Use the week selector and Open week to access another period.
If no period covers today, ask your company administrator to create it. Closed periods with existing sheets can be viewed, but cannot be edited.
Enter time and move between days
- Choose the date, job and allocation code. Select an activity where required.
- Enter start and finish times, or Hours if your company uses hours-only entry. Split an overnight shift across its two dates.
- Add any required notes and choose Save entry.
- Use Next day or Save & next day to continue. The editor stays open; job and shift times are retained for faster next-day entry.
With the standard settings, timed work over five hours in a day has a single 30-minute break deducted. For example, 07:30–16:00 records eight hours. Your company’s rules may differ, and an existing week keeps the rules saved when it opened. Hours-only entries do not receive an automatic break.
Overlapping entries are refused. The company limits the number of different jobs per day; the same job on two allocation codes counts as one job. New entry on this day starts another line and clears the time fields.
Edit an entry before submission
Choose Edit on a time line, change the fields and select Save changes. A normal save keeps that saved line in edit mode, so pressing Save again does not add a duplicate. Moving an entry to another date recalculates breaks on both dates.
You can edit draft or returned sheets in open periods. You cannot edit a submitted, supervisor-approved, payroll-approved, exported or locked sheet. Ask for the sheet to be returned if a correction is needed. HOL/SICK entries generated from approved absences cannot be edited here.
Changing client-signed hours means a new client sign-off is needed. General time-line deletion is not available yet.
Expenses, receipts, mileage and subsistence
Use Add expense, Add mileage or Add subsistence on your week. Choose the category/type and job, enter the date and amount or miles, and add a description.
Receipt uploads accept PDF, JPEG and PNG up to 5 MB. Category-based VAT is a suggestion: check it against the receipt and adjust it if necessary. Where permitted, No receipt available requires an explanation and records zero VAT. Expenses/mileage may be dated up to 90 days before the selected week.
The app calculates mileage using the company’s vehicle rates and stored annual car mileage. Subsistence starts from the configured allowance amount. Check the result before saving.
Draft or returned claim lines can be edited or removed. A rejected claim is excluded from totals; read the reviewer’s reason and correct it on a returned sheet.
Obtain external client sign-off
This is optional per company. If enabled, External client sign-off appears below your time entries and above claims. Add time against an active customer job first.
- Select the customer job and date range within the week (one day or the week).
- Choose Prepare client handover. This signs you out.
- Wait for the restricted job-hours screen to load, then hand over the device. Close other app tabs containing private information before handover.
- The client reviews the hours, enters their name, position and company, optionally adds a contact number, checks the confirmation and approves.
- Take back the device and sign in again to continue.
The handover expires after 15 minutes. It is a typed-name attendance confirmation, not independent identity verification or an invoice. If hours are wrong, the client should return the device without approving. A failed or expired handover must be started again.
Client sign-off can happen before supervisor approval. It does not submit your sheet, and it is not available on locked/payroll-approved/exported weeks. Changes to the signed hours require a new sign-off.
Time off and sickness
Find Time off and sickness below expenses, mileage and subsistence. Choose Request time off or Report sickness, enter dates, hours and notes, and send it for review. A single-date part-day is supported.
Use Monday–Friday ranges; a single weekend date is allowed. The default eight hours per day must be changed if it does not match your working day. Avoid medical details in the notes.
Check history for pending/approved/declined records. You can cancel a pending request. Approved holiday and confirmed sickness create HOL/SICK entries. Future approval can wait for a period to be created and your week to be opened; history shows outstanding days. Entitlement balances and changes to approved requests are not available yet.
Submit and handle returned sheets
Check every day and claim, then choose Submit week. The sheet goes to your assigned supervisor and then payroll. You cannot continue editing while it is awaiting approval.
If a reviewer returns it, read the reason, correct the records and resubmit. Payroll-approved or locked weeks require administrator/payroll review for further corrections.
Print or save a PDF
Open the week and choose Print week. Use the browser print dialogue to print or save a PDF. The sheet includes the company name, weekly records and any saved client sign-off summary.
Client sign-off confirms selected job hours. It does not replace supervisor or payroll approval. An approval marked Hours changed — new sign-off needed is no longer a confirmation of the current entries.
If something is missing or will not save
- No current week: ask admin to check pay periods.
- Missing job/code/activity: ask admin to check active references and rules.
- Client sign-off missing: admin must enable it for your selected company; add customer-job hours and open an editable week.
- Record changed: refresh and check the latest sheet before retrying.
- Already approved or locked: contact your reviewer; do not create duplicate entries to work around the lock.
- Connection failed: check the saved week before retrying. The app needs a working connection; offline entry is not available.
